AI agent for contractors and tradespeople

Chatbot, assistant, agent, automation: what these words mean for a business with a crew, and what already works today.

AI agents are everywhere in 2026. Most articles, though, are about big corporations. This one is about a business that fits bathrooms, wires houses or fixes roofs and has no time to retype paperwork in the evening. We explain the difference between a chatbot, an assistant and an agent, show 8 jobs an AI agent handles today, and say plainly what it doesn't do yet. For the wider picture, start with AI in construction: 7 uses.

Chatbot, AI assistant, AI agent and automation: what's the difference

These four words get mixed up a lot. For a construction business the difference is simple: a chatbot answers, an assistant prepares a draft, an agent takes a step in the system, and automation runs on its own by a rule. Good software combines all four and makes it clear who decides at every step.

In practice: you don't need four different programs. You need one system where the AI knows your jobs, price list and people, and where you can see what the AI did.

    Four terms, one sentence each

    • AI chatbot: Answers questions in a chat window, for example a customer on your website or a worker in the app. It saves and changes nothing by itself.
    • AI assistant: Turns your text, voice or photo into a draft: a quote, a time entry, a diary entry. You check it and save it.
    • AI agent: Understands what you want and takes a step in the system itself: creates a task, puts an appointment in the calendar, splits one sentence into hours, a note and materials. For anything important it waits for your confirmation.
    • AI automation: Runs without a click, on a schedule or an event: prepares the diary every evening, checks overdue invoices and over-budget jobs every day.

Why everyone is talking about AI agents right now

Experts agree that in 2026 AI agents are moving from demos into everyday work. In construction, job management and field work will feel it most, not the bricklaying itself. And for the first time it isn't a topic just for big firms.

Four reasons it's more than a buzzword

1The shortage is people, not work

Every hour a foreman spends on paperwork is an hour missing on site. An agent takes over exactly the part of the day nobody wants to do.

2Admin gets done in the evening

In many firms, quotes, crew hours, receipts and the diary are finished at home. An agent prepares them during the day from what is already in the system.

3AI is now inside everyday software

No programmer and no custom project needed. The agent is part of the job management software the business already uses, and it knows that data.

    4The rules are clearer

From August 2026 the EU AI Act requires a chatbot to say that it is AI. A serious vendor can tell you what the AI does, where the data runs and how to switch it off.

8 jobs an AI agent can handle in a construction business today

Every example works in Bidmio today. For each one we say who has the final word, because that is what separates a useful agent from a risky one.

1One sentence, several records at once

After the shift a worker says into the phone: โ€œ8 hours today on High Street, bathroom tiling done, need to bring adhesive tomorrow, took two bags of grout from the van.โ€ The agent turns that into hours, a diary entry, a task and a material issue from the van. More in time tracking.

๐Ÿ“Š Final word: the worker sees every suggestion and saves them with one tap.

2Draft quote from a photo, text or voice

At the site visit you photograph a sketch or dictate the scope. In the background the agent prepares a draft quote with items and prices from your own price list in price quotes.

๐Ÿ“Š Final word: the quote waits as a draft and only goes to the customer when you click Send.

3Receipts and supplier invoices without retyping

A worker photographs a receipt; a supplier invoice arrives by email in the documents inbox. The AI reads the supplier, date, amount and VAT and suggests an account based on how you have booked so far. See document processing.

๐Ÿ“Š Final word: you confirm uncertain lines, the invoice goes for approval, and VAT and period close stay with the accountant.

    4Site diary prepared every evening

Automation that runs by itself: every evening at 18:00 a draft entry for the construction diary is assembled from hours, photos and the weather. The site manager reviews and signs it.

๐Ÿ“Š Final word: the draft waits for approval; nothing gets signed by itself.

5Tasks, appointments and notes via chat

You type or tell the AI assistant: โ€œSite visit at Smith's tomorrow at 9โ€ or โ€œRemind me to order the windows for High Streetโ€. The agent puts the event in the calendar, creates a task or adds a note to the job chat.

๐Ÿ“Š Final word: you see the record right away and undo it with one button.

6A morning check of the business without clicking

Every day Bidmio automatically goes through jobs, invoices and documents: what is running late, what is overdue, which job is going over budget and which invoice may be a duplicate. Fixed rules find the problems; the AI sums them up clearly in AI insights. Some come with a button for the next step, for example a task to call a customer about an unpaid invoice.

๐Ÿ“Š Final word: you read and confirm the step; an alert never sends anything to anyone by itself.

7Answers about jobs and company numbers

You ask: โ€œHow is the High Street 12 job doing?โ€ or โ€œWhich projects are losing money?โ€. The assistant answers from your data on jobs, hours and costs, not from the internet.

๐Ÿ“Š Final word: the assistant only shows what the signed-in user is allowed to see.

8Chat translation with a crew from abroad

The foreman writes in English, a colleague on the crew reads in German. Messages in the job chat are translated into the reader's language, so no instruction on site gets lost.

๐Ÿ“Š Final word: the original message stays and is one click away.

What an AI agent doesn't do yet (and why that's good)

An agent that sent invoices or payments on its own would be more of a risk than a help to a construction business. That is why Bidmio's limits are set on purpose. You'll find the full list on the AI in Bidmio page.

4 things that stay with a person

1It doesn't send quotes or invoices by itself

Everything that goes to a customer waits as a draft. It is sent by the person who stands behind the price.

    2It doesn't pay or sign

Payments, VAT returns, period close and signing the diary stay with the responsible person.

3It doesn't answer the phone for you

AI receptionists that take calls for tradespeople are popular in the US. Bidmio doesn't have one. An enquiry from your website, however, lands in the system and can turn into a quote.

    4It doesn't guess when it doesn't understand

If it doesn't understand a sentence or finds two customers with the same name, it asks. Better one extra question than a wrong record.

How to choose an AI agent or chatbot for your business: 6 questions

Every tool looks great in a demo. Ask the vendor these questions before you sign.

    Does it know my data?

An agent outside your system doesn't know your price list, jobs or people. Without that it only gives generic advice.

    Who confirms?

For every action it should be clear whether the AI did it alone or is waiting for you, and what can be undone.

    Does it respect permissions?

A worker without access to finances must not reach them through the AI assistant either.

    Where does the data run?

Ask about the servers, the AI processor and GDPR. A voice recording should not be kept after transcription.

Can it be switched off and capped?

An admin should be able to turn off individual features and set a monthly limit, so the AI never brings a surprise bill.

Is the chatbot labelled as AI?

If a chatbot talks to your customers, the AI Act requires it to be clear that they are not talking to a person.

How to start with an AI agent in 30 days

You don't have to change the whole business at once. Start with one pain point and add more once the team is used to it.

    1.Week 1: hours and receipts

Goal: one visible result that convinces the crew.

    • Show the crew voice time entry on one job.
    • Receipts are photographed at the till, not on Friday in the van.
    • At the end of the week, compare how much time you saved.

๐Ÿ“‹ Hours and receipts are in the system the same day.

๐Ÿ’ก Start with the worker who hates paperwork most. Once it works for them, they will convince the others.

2.Weeks 2โ€“3: quotes and the diary

Goal: cut the foreman's evening admin.

    • At the next site visit, dictate the scope and let the AI prepare a draft quote.
    • Turn on the evening draft of the construction diary for one site.
    • Enter tasks and appointments through the AI assistant.

๐Ÿ“‹ The quote is sent on the day of the site visit; the diary isn't written after the fact.

๐Ÿ’ก Check the prices in your price list first. The AI uses them; it doesn't invent them.

    3.Week 4: oversight and rules

Goal: a clear overview and limits in place.

    • Every morning, go through the AI insights: overdue invoices and over-budget jobs.
    • Set who may use the AI features and a monthly credit limit.
    • Switch off features the business doesn't need.

๐Ÿ“‹ AI runs where it helps, under the admin's control.

๐Ÿ’ก After a month, ask the crew what saved them the most time and roll it out to more jobs.
